The Shopify invoice doesn't reflect an order edit
Symptom
You edited an order on Shopify (product swapped, quantity or amount changed) before the invoice was sent through an official channel, but the downloaded PDF/XML still shows the old data. Or: you see a “Credit notes” button on an order where no real refund was ever issued.
Cause
Shopify doesn’t always notify POP in real time when you edit an order. So when you request the document again (downloading it, or on payment if sending is automatic), POP checks whether the order was changed since the last generation: if so, it doesn’t trust the stored file and generates a new one with the updated data, reusing the same invoice number and progressive already assigned (no new document identity). This check only applies as long as the invoice hasn’t already been sent through an official channel (SdI, PEPPOL, KSeF, Zoho) or by email: from that point on the document is protected, and any correction requires a credit note, so an already-issued fiscal document is never rewritten.
An edit that only reduces quantities (with no real money moved) creates a “technical” refund record in Shopify that looks identical to a real refund: POP now tells them apart and no longer generates a spurious credit note for these cases.
Fix
- After editing the order, reopen/re-download the document from the Orders page (or wait for the automatic trigger, e.g. on payment): this is when POP checks alignment and regenerates if needed. Editing the order alone doesn’t update the existing file.
- Check whether the document has already been sent through an official channel: if so, the invoice stays as issued and the correction must go through a credit note from the Orders page (dedicated button, generated from a real Shopify refund).
- Note: regenerating a document because the order changed consumes a plan credit, same as a new generation.
