Document progressive: the counter used in the document name
Goal
Understand what the “document progressive” is and manage its reset (automatic or manual), separately from the legal invoice number.
Prerequisites
- Access to Settings > Document progressive in the POP for Shopify app.
What it is
The document progressive is the counter used in the name of the XML/PDF file generated by POP — it is not the legal invoice number (for that, see shopify-invoice-numbering). It matters most for sending to SdI, which requires file names with ordered progressives; for PEPPOL it is not mandatory but it is still recommended to keep it ordered for administrative consistency.
Steps
In the Document progressive card:
- Automatic reset at year change — if enabled, the counter restarts from
00001on the first document generated in the following year. - Reset progressive now — immediate manual reset, useful after a migration or after testing in sandbox. Use it only after you have sent all the documents for the previous year.
The card always shows the current status (“Current state: year {year}, counter {counter}”) and the date of the last reset.
Verify
- After a manual reset, generate a new document and check that the counter in the file name restarts
from
00001. - With automatic reset enabled, verify that the first document generated in the new calendar year
restarts from
00001without manual action.
Common errors
- “Reset the document progressive for {year} in Settings before generating new files.” — POP blocks generation because the current year’s progressive has not yet been initialized/reset: go to Settings and run Reset progressive now.
- The progressive doesn’t reset in January — check that Automatic reset at year change is enabled; if disabled, the counter keeps incrementing past the year change.
- Confusion with the invoice number — if the number you see on the invoice doesn’t change after a reset here, you are probably looking for the wrong setting: the invoice number is configured separately in shopify-invoice-numbering.
